Project Goal and Challenge Identification: The client's account management team faced a cumbersome process wherein the team lead assigned specific AMs to companies via Slack. Subsequently, the assigned AMs were required to navigate to HubSpot, locate the company, set the "Account Manager" property, and dispatch invitation emails to clients. This manual process not only consumed valuable time but also posed the risk of errors creeping in.
Solution Overview: To address this challenge, we devised an automated solution leveraging Zapier:
Slack Trigger: We developed a Zap triggered by specific emojis in Slack, each corresponding to real Account Managers. This intuitive interface simplified the assignment process for the team lead.
Automation Workflow: Upon trigger activation, the Zap employed regular expressions to cleanse the company name of any special characters, ensuring accuracy in data processing.
HubSpot Integration: The Zap seamlessly located the company within HubSpot's database, assigned the appropriate AM based on the emoji trigger, and initiated the invitation email using the AM's name. This streamlined workflow eliminated manual intervention and potential errors.
Outcome: By implementing this automated solution, we achieved significant time savings and enhanced accuracy in AM assignment.
